Community Centre Manager (Maternity Cover)

We are seeking an organised and dynamic administrator/manager to join our team for maternity cover. This role involves managing the day-to-day operations of our busy community centre, ensuring the smooth running of events, bookings, and services while maintaining a welcoming, friendly environment for all visitors.

Location: Redhouse Community Centre, SN25 2NJ
Duration: Maternity Cover, to start asap
Hours: 30 hours per week, with flexibility to fit around bookings
Salary: £16.00 per hour

Key Responsibilities:

Administrative and Financial Duties:

  • Respond to enquiries via phone, email, and social media within set timeframes.
  • Manage and process bookings, including adjustments, recommendations, and handling cancellations.
  • Maintain up-to-date records of utilities, income, expenditure, and timesheets.
  • Submit monthly meter readings and defibrillator check submissions.
  • Manage petty cash and monthly banking.
  • Process payments or reimbursements as required.
  • Track payments, raise invoices, update financial records, and chase overdue payments.

Customer Relations:

  • Welcome hirers, customers, and potential clients, addressing any queries or issues promptly.
  • Organise tours of the facility for prospective hirers.
  • Handle customer complaints professionally to ensure satisfaction.

Facility Maintenance:

  • Prepare the centre daily for bookings and visitors, ensuring cleanliness and availability of supplies.
  • Oversee routine maintenance checks for fire safety, water, and equipment.
  • Coordinate repairs and upkeep of the building, managing contractors when necessary.
  • Ensure the venue is safe, tidy, and ready for use at all times.

Reporting and Compliance:

  • Prepare reports for quarterly committee meetings, attend meetings, and provide updates.
  • Update and manage risk assessments, policies, and ensure all compliance requirements are met.

Staff Management:

  • Coordinate and monitor three part time caretakers.

Ad-hoc Tasks:

  • Support the marketing of available space by posting on social media and noticeboards.
  • Be available for out-of-hours emergencies or alarm callouts when required.
  • Provide cover for caretaking shifts when needed.

Requirements:

  • Proven experience within a community centre, events venue, or similar.
  • Excellent organisational and multitasking skills, and good initiative.
  • Strong customer service and communication skills, both written and verbal.
  • Ability to work independently and as part of a team.
  • Proficiency in using booking systems and managing financial records.
  • Knowledge of health and safety procedures and compliance regulations.
